Privacy Policy

This Privacy Policy explains how Cornellclubs.com (“we,” “us,” or “our”) collects, uses, and shares information when you use the Cornell Clubs website (the “Service”). By using the Service, you agree to the collection and use of information as described here.
The Service is an independent student project. It is not currently operated, endorsed, or sponsored by Cornell University, or by any student organization listed on it.
1. Information we collect
Information you give us
- Account information. Your Cornell email address and, from it, your NetID. If you sign in with Google, we receive your name, email address, and profile photo from Google. We do not receive your Google password or access to your Gmail, Calendar, or Drive.
- Profile information. Details you add to your profile, such as your name, class year, college, major, bio, LinkedIn URL, and interests.
- Activity on the Service. The clubs you follow, the progress you record on club applications and tasks, and the coffee chats you log, including the names of people you spoke with and any notes you write.
- Communications with us. Anything you send us, such as support requests or feedback.
Information collected automatically
- Log and device information. Like most websites, our servers and hosting providers record technical information such as IP address, browser and device type, pages requested, and timestamps.
- Cookies. We use cookies to keep you signed in and to make the Service work. We do not currently use advertising or third-party analytics cookies.
Information from other sources
To build the club directory, we collect information that clubs and their members have made publicly available, such as club websites, social media profiles, and campus organization listings. This includes club descriptions, links, events, and deadlines, and can include the names, roles, class years, majors, photos, public email addresses, and LinkedIn URLs of club members, including people who do not have an account. See section 6 to have this information corrected or removed.
2. How we use information
- To provide, operate, and maintain the Service, including your account and profile.
- To show you clubs, events, deadlines, and people relevant to your interests.
- To send you sign-in links and other service-related messages.
- To verify that users are members of the Cornell community.
- To understand how the Service is used and to improve and develop it.
- To keep the Service safe and secure, prevent fraud and abuse, and enforce our Terms of Service.
- To comply with legal obligations and respond to lawful requests.
- For any other purpose we describe to you when we collect the information.
3. How we share information
- With other users. Your profile information (such as your name, class year, college, major, bio, and LinkedIn URL) may be visible to other signed-in users. Your application progress, task checklists, and coffee chat log are private to you.
- With service providers. We use vendors to host and run the Service, including database and authentication hosting, website hosting, and email delivery for sign-in links. They may process information only on our behalf.
- For legal reasons. If we believe in good faith that disclosure is needed to comply with law or legal process, to protect the rights, property, or safety of anyone, or to investigate violations of our Terms.
- With your consent or at your direction.
- Aggregated or de-identified information that cannot reasonably be used to identify you, which we may use and share for any purpose.
We do not sell your personal information. If that ever changes, we will update this Policy and notify you before the change takes effect, and we will obtain your consent where the law requires it.
4. Google sign-in
If you sign in with Google, we receive only your basic profile (name, email address, and photo) and use it to create and identify your account. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data or use it for advertising. The “Add to Google Calendar” button only opens Google Calendar with an event filled in for you to save; it does not give us access to your calendar.
5. Retention
We keep information for as long as your account is active and as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we delete your profile and the information linked to it, though copies may remain in backups for a limited time.
6. Your choices
- Profile. You can view and edit your profile information at any time.
- Delete your account. You can delete your account from your profile page.
- Directory listings. If you are listed in the club directory, whether or not you have an account, you can ask us to correct or remove your information by contacting us at the address below.
7. Security
We use reasonable technical and organizational measures to protect information, including access controls on our database. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
8. Children
The Service is intended for members of the Cornell community and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
9. Changes to this Policy
We may update this Policy from time to time, including as we add features. If we make material changes, we will notify you through the Service or by email before they take effect. The “Effective” date above shows when this Policy was last updated.
